The Employee Handbook: a structure people actually use

An Employee Handbook template and a structure that lets people find the answer, and that stands up to union scrutiny. Download it and adapt it to your company.

Most employee handbooks are written once, dropped in a shared folder and forgotten. People cannot find them. Managers never refer to them. And when a union asks to see one ahead of a dispute, it turns out to be out of date, incomplete, or both. This guide is about the template and the structure that change that.

A good handbook is not a long one. It is well structured, easy to navigate and kept current.

What belongs in it

Swedish law does not require you to have an Employee Handbook. It does, however, impose a string of employment law duties that assume you have told your people what your rules and routines are, and a handbook is the natural way to do that. Remember that it should also describe how you handle employees’ personal data. The groundwork for that is in our GDPR guide for smaller companies.

The sections worth having:

Welcome and introduction: your company, your values, what you expect of people and what they can expect of you.

Terms of employment: working hours, overtime, flexitime, remote work, probationary periods. Be concrete. “We offer flexitime” is not enough, state the limits.

Leave and absence: holiday (how do you apply, how is it planned?), parental leave, care of a sick child, sick leave and the qualifying deduction. Refer to the statute, then explain how you apply it in practice.

Pay and benefits: pay dates, how expenses are handled, any benefits. Not salary levels, those belong in the individual contract.

Conduct and the work environment: what is expected in how people treat each other, communicate and behave professionally. What is your process when someone reports harassment or discrimination?

IT and information security: the rules for company equipment, systems and data. What about personal use? What happens if equipment is lost?

Speaking up and whistleblowing: how people can report wrongdoing, and the protection they have when they do.

The structure that actually gets used

Write for the person looking for one answer, not for the person reading front to back. In practice that means:

Clear headings and subheadings. One page per subject rather than a continuous forty-page document. An index or a clickable table of contents. Plain language, with no legal term left unexplained.

If the handbook is digital, which it should be, make sure it is searchable. Someone wondering how to book holiday should be able to search for “holiday” and have the answer in under ten seconds.

Keeping it current

Give it an owner, usually HR or the CEO in a smaller company. Put a calendar reminder once a year for a review. And build the habit of updating the handbook when you introduce a new rule, benefit or routine, rather than six months later.

A handbook that matches reality is your best protection in a dispute. One that does not can be used against you.
